These terms explain how Member's Vault Rewards works, how points, tiers, and bonus points are earned, how rewards are redeemed, how promotional and account-based rewards may be issued, and how benefits are managed through your customer account.
Key Terms
Points
Base earning starts at 1 point for every €1 spent on qualifying paid orders, with higher earning rates available through tier multipliers. For non-euro orders, the qualifying paid amount is converted to euro for points calculation, and displayed estimates in local currency may vary slightly due to exchange rates and rounding.
Tiers
Bronze (1x), Silver (1.2x from €150 lifetime spend), Gold (1.5x from €300), Platinum (2x from €600).
Bonus points
New members may receive a 50-point first-order bonus, and tier entry bonuses may be awarded when qualifying spend thresholds are reached.
Rewards
Rewards may include points-redemption rewards, promotional rewards, and account-based rewards. Current points-redemption options are 100 points = €5, 200 points = €12, 300 points = €20, 600 points = €50.
Usage
Only 1 loyalty reward code may be used per order and it cannot be combined with other discount codes.
Expiry
Standard points-redemption rewards expire 90 days after issue. Some promotional rewards may have shorter or longer validity periods depending on reward type.
Limit
A maximum of 3 active rewards may be held at one time, unless we expressly state otherwise for a specific reward type.
Member's Vault Rewards Terms & Conditions
Member's Vault Rewards is our customer loyalty program that allows eligible customers to earn points on qualifying purchases, unlock tier benefits based on lifetime spend, receive certain bonus points where available, receive certain promotional or account-based rewards where available, and redeem points for reward discounts on future orders placed through www.thescentvault.ie.
Points, tiers, rewards, and bonus benefits are linked to the customer account used to place an order and may be used only in accordance with these Terms & Conditions.
Rewards within the program may include points-based rewards, promotional rewards, and account-based rewards linked to customer profile information, preferences, purchase history, or other eligibility criteria determined by us.
Participation in the program is subject to these Terms & Conditions, together with any other applicable website terms, policies, and checkout conditions published on our site.
Member's Vault Rewards is available to customers who create or maintain an account with The Scent Vault.
To earn and redeem points, or to receive other eligible loyalty benefits, you must:
- have an active customer account on our website
- provide accurate account information
- use the same account when placing orders
- comply with these Terms & Conditions
The program is intended for personal customer use only. We reserve the right to refuse, suspend, or terminate participation where we reasonably believe the program is being used improperly, fraudulently, or in breach of these Terms.
Customers earn points on qualifying paid orders placed through www.thescentvault.ie.
Base points earning rate
- Bronze: €1 spent = 1 point
- Silver: €1 spent = 1.2 points before rounding
- Gold: €1 spent = 1.5 points before rounding
- Platinum: €1 spent = 2 points
Points are calculated based on the qualifying paid order amount recorded by our systems. Unless we state otherwise, this may include product price, taxes, and shipping charges where those amounts form part of the paid order total processed through our systems.
If an order is paid in a currency other than euro (€), we will convert the qualifying paid amount into euro for the purpose of calculating points.
Points are awarded by reference to the euro-equivalent value recorded by our systems, checkout records, or payment provider at the time of processing. Exchange rates, market movement, provider conversion rates, and rounding may vary and may result in small differences between the amount charged in local currency, any points preview shown on the website, and the final number of points awarded.
Where a tier multiplier applies, points are calculated using the applicable multiplier for your account at the time the order is processed, and final points are awarded in whole numbers only. Fractional points may be rounded down.
Points are awarded only after an order has been successfully placed and paid.
Where an order is cancelled, refunded, reversed, or otherwise not completed, the associated points may be removed or adjusted.
Member's Vault Rewards currently includes the following tiers:
- Bronze: from €0 lifetime spend
- Silver: from €150 lifetime spend
- Gold: from €300 lifetime spend
- Platinum: from €600 lifetime spend
Tier status is determined by the lifetime spend value recorded for your account in our systems.
Tier benefits may include increased points earning rates and one-off tier entry bonus points.
Unless we state otherwise, tier qualification is based on cumulative lifetime spend and not on spend within a rolling period.
We reserve the right to review, correct, adjust, or recalculate tier status where refunds, cancellations, chargebacks, fraud checks, duplicate records, or system errors affect the recorded lifetime spend for an account.
From time to time, customers may receive bonus points in addition to base order points.
Current bonus structures may include
- a 50-point first-order bonus for an eligible customer's first qualifying order
- Silver tier entry bonus: 25 points
- Gold tier entry bonus: 50 points
- Platinum tier entry bonus: 100 points
Bonus points are awarded only where the relevant qualifying conditions are met and successfully recognised by our systems.
Unless we state otherwise, bonus points:
- are promotional loyalty credits only
- have no cash value
- are non-transferable
- may be withheld, reversed, or adjusted if the qualifying order is refunded, cancelled, reversed, charged back, or found to be fraudulent
We reserve the right to introduce, amend, limit, withdraw, or replace bonus-point opportunities at any time.
Points are normally earned on eligible purchases made directly through our website.
We reserve the right to determine whether a purchase qualifies for points, bonus points, promotional rewards, or account-based rewards. In particular, points, bonus points, or other benefits may be withheld, removed, or adjusted where:
- payment fails or is reversed
- an order is cancelled before fulfilment
- an order is identified as fraudulent or high-risk
- a refund or partial refund is processed
- bonus or reward eligibility conditions are not satisfied
- there is a technical or administrative error
Unless we expressly state otherwise, points and bonus points are not automatically guaranteed until the order has been accepted, paid, and processed through our systems.
Your points balance is visible within your customer account, subject to system availability.
We aim to keep balances accurate, but in the event of any discrepancy, technical issue, delay, or system error, the records maintained by The Scent Vault will be final unless shown to be incorrect.
Points:
- have no cash value
- are non-transferable
- cannot be sold, exchanged, or assigned
- may only be used in accordance with these Terms & Conditions
We reserve the right to correct any points balance that has been credited, debited, or displayed incorrectly due to system error, refund activity, abuse, or administrative mistake.
Customers may redeem points once they have accumulated enough points for an available reward.
Current points-redemption reward options
- 100 points = €5 discount
- 200 points = €12 discount
- 300 points = €20 discount
- 600 points = €50 discount
Rewards within Member's Vault Rewards may also include promotional rewards or account-based rewards that do not require points redemption.
Rewards are not issued automatically unless we state otherwise. Customers must actively choose to redeem available points through their account where points redemption applies.
When a points-based reward is redeemed:
- the relevant number of points is deducted from the account balance
- a reward discount code may be generated
- that reward is stored in the customer's account, subject to the active reward limit unless we state otherwise
We reserve the right to change, replace, or withdraw redemption options at any time.
When you redeem points, or when we issue an eligible promotional or account-based reward, you may receive a reward in the form of a discount code for use on a future order.
Reward codes:
- are issued to the account that redeemed the points or qualified for the reward
- are intended for use only by that account holder
- are single-use unless otherwise stated
- cannot be exchanged for cash
- cannot be retrospectively applied to completed orders
- cannot be reissued if lost, expired, deleted, or used, except at our sole discretion
A reward is considered issued once the reward code has been created in your account or otherwise recorded as active in our systems.
Reward discount codes may be used on future purchases subject to the following conditions:
- only one loyalty reward code may be used per order
- loyalty reward codes cannot be combined with other discount codes
- reward codes do not require a minimum order value, unless we state otherwise
- reward codes may be limited to specific products, collections, brands, categories, or other conditions depending on reward type
- unused rewards expire automatically once the validity period ends
Rewards cannot be applied after checkout has been completed and cannot be split across multiple orders unless expressly stated otherwise.
If a reward code fails to apply because it is expired, used, invalid, blocked by another promotion, not linked to an eligible customer account, or restricted to products or conditions not met at checkout, it will not be accepted.
Standard points-redemption reward codes issued through Member's Vault Rewards are valid for 90 days from the date they are issued.
Certain promotional or account-based rewards may have different validity periods. For example:
- birthday rewards may have a shorter validity period
- certain account-based or brand-specific rewards may have a longer validity period
The applicable expiry period for a reward is the one recorded in your account or otherwise applied by our systems for that reward type.
Once a reward expires:
- it cannot be used
- it cannot be reactivated
- it cannot be exchanged for points, cash, or another benefit
- we are not obliged to replace or extend it
Customers are responsible for monitoring the status and expiry of their active rewards.
Customers may hold a maximum of three active rewards at any one time, unless we expressly state otherwise for a particular reward type or operational reason.
If your account already has three active rewards, you may not be able to redeem or receive additional rewards until at least one active reward is no longer active because it has:
- been used
- expired
- been cancelled
- been removed as part of a refund or account adjustment
This limit applies regardless of how many points remain in your balance.
Customers may have the option to select a favourite brand within their account.
Where available, selecting a favourite brand may generate a brand-specific reward linked to that preference.
Favourite brand rewards are subject to the following conditions:
- the reward applies only to eligible products linked by us to the selected brand, collection, or related product set
- the selected favourite brand may only be changed once every 12 months unless we allow otherwise
- an existing favourite brand reward may be reused, replaced, deactivated, or updated depending on account status and system behaviour
- if the selected favourite brand is changed, removed, cleared, corrected, or no longer supported, any related reward may be cancelled, replaced, or deactivated
- favourite brand rewards are issued to and usable only by the account that selected the brand
- favourite brand rewards cannot be combined with other discount codes unless we expressly state otherwise
We reserve the right to refuse, cancel, block, or adjust favourite brand rewards where technical issues, brand mapping errors, collection errors, code-generation failures, misuse, abuse, fraud, or eligibility issues occur.
Customers may receive a birthday reward where a valid date of birth has been provided in their account and the relevant eligibility conditions are met.
Birthday rewards are subject to the following conditions:
- date of birth information must be provided accurately and may only be set once unless we allow or process a change
- birthday rewards may only be issued once per calendar year
- eligibility may depend on account history, including whether the customer has placed at least one qualifying paid order
- birthday rewards are promotional, account-specific, and non-transferable
- birthday rewards may have a shorter validity period than standard points-redemption rewards
Birthday rewards may be withheld, cancelled, or not reissued where eligibility conditions are not met, account data is missing or inaccurate, misuse is suspected, or a technical or administrative issue occurs.
Certain rewards, benefits, and eligibility checks may depend on information stored in your account profile, including but not limited to contact details, birthday information, favourite brand selection, and other account preferences.
You are responsible for:
- ensuring your account details are accurate and complete
- providing profile information in the format requested by our systems
- reviewing your account details before submitting them
Incorrect, incomplete, outdated, or delayed profile information may affect reward eligibility, reward timing, reward validity, or account functionality.
Some profile fields may be locked after submission or may only be changed by us at our discretion.
We are not responsible for missed rewards or eligibility issues caused by inaccurate, incomplete, or unavailable account data.
If an order is refunded in full or in part, the points and any related bonus points associated with that order may be adjusted accordingly.
Refund rules
- partial refunds may remove a proportional number of points
- full refunds may remove all points earned from that order
- bonus points linked to that order or to a tier threshold crossed because of that order may also be removed or adjusted
- point balances cannot fall below zero unless our systems are temporarily processing pending corrections
If a refund or cancellation occurs after points were earned, we may deduct the relevant points from your balance.
If a refund occurs after rewards were redeemed but not yet used, unused rewards may be cancelled or adjusted where necessary to reflect the corrected point balance.
If a refund, cancellation, or adjustment affects the eligibility basis for a promotional or account-based reward, we may also cancel, remove, adjust, deactivate, or replace that reward where necessary.
Rewards that have already been used on completed orders will generally not be reversed, but we reserve the right to make reasonable account adjustments where abuse, fraud, system error, or order reversal is involved.
If an order is cancelled, declined, reversed, charged back, or otherwise not successfully completed, any points, bonus points, reward entitlements, or tier-related credits associated with that order may be removed.
We reserve the right to delay awarding points or issuing rewards where an order is pending review or where payment verification has not been fully completed.
Member's Vault Rewards benefits are linked to the customer account that earned them or qualified for them and are not transferable to any other customer or account.
You are responsible for:
- maintaining access to your account
- keeping your login details secure
- ensuring your account details are accurate
- safeguarding any reward codes issued to your account
We are not responsible for loss of rewards, loss of points, or misuse of your account arising from your failure to keep your account secure.
We reserve the right to investigate any activity that we believe, in our reasonable opinion, may involve:
- abuse of the loyalty program
- manipulation of points, bonus points, tiers, rewards, or reward eligibility
- duplicate or false accounts
- fraudulent orders
- misuse of discounts
- misuse of account-based features or profile-based rewards
- activity inconsistent with the intended operation of the program
Where we suspect abuse, fraud, manipulation, or misuse, we may, without notice:
- cancel rewards
- remove or adjust points or bonus points
- recalculate tier status
- deactivate, block, or replace reward codes
- suspend or terminate loyalty participation
- suspend or restrict the related customer account
- refuse future participation in the program
Our decision in such matters shall be final, acting reasonably.
Points, bonus points, tiers, and rewards:
- have no cash value
- cannot be redeemed for cash
- cannot be purchased directly
- cannot be transferred, sold, or assigned
- cannot be inherited or merged between separate customer accounts unless we expressly agree otherwise
We do not guarantee that Member's Vault Rewards will always be available, uninterrupted, or error-free.
From time to time, the program or parts of it may be unavailable due to:
- maintenance
- updates
- technical failures
- platform limitations
- third-party service interruptions
We are not liable for any loss of points, bonus points, tier progression, missed reward opportunities, temporary inability to redeem, or profile-based reward issues caused by system issues, except where required by law.
We reserve the right to correct any error relating to:
- points balances
- bonus points
- tier eligibility or tier status
- reward eligibility
- redemption thresholds
- active rewards
- expired rewards
- system-generated codes
- checkout application of rewards
- profile-based rewards or preference-linked rewards
- birthday eligibility or favourite brand eligibility
If points, bonus points, tier benefits, or rewards are granted in error, we may cancel, reverse, adjust, replace, or deactivate them at any time.
Where our website displays prices, points, thresholds, tiers, or reward-related values in a currency other than euro (€), those values may be shown for convenience only.
Displayed points estimates on product pages, cart pages, account areas, or other parts of the website may differ slightly from the final points awarded due to exchange-rate timing, conversion source, provider calculations, tier multiplier calculation, and rounding.
For the purposes of Member's Vault Rewards, the euro-equivalent value recorded by our systems at the time of order processing shall determine the final number of points earned, eligibility for rewards, tier progression, and any related account adjustment.
We reserve the right to correct any displayed estimate, conversion, threshold, tier display, or reward-related value where a technical, display, calculation, or administrative error has occurred.
We may update, modify, suspend, or discontinue Member's Vault Rewards, or any part of it, at any time.
This includes the right to change:
- how points are earned
- bonus-point rules
- tier thresholds and tier benefits
- redemption thresholds
- reward values
- reward expiry periods
- active reward limits
- eligibility criteria
- profile-based reward rules
- favourite brand reward rules
- birthday reward rules
- any operational rule of the program
Any such changes will take effect from the time they are published on our website, unless otherwise stated.
Continued participation in the program after changes are published will constitute acceptance of the updated Terms & Conditions.
We reserve the right to suspend or terminate the loyalty program at any time.
If the program is withdrawn or terminated, we may set a deadline for the use of any remaining active rewards or points. After that date, unused points, bonus points, tier benefits, or rewards may be cancelled without compensation, unless otherwise required by law.
To the fullest extent permitted by law, Zyra Fragrances Limited shall not be liable for any indirect, incidental, or consequential loss arising from or related to Member's Vault Rewards, including but not limited to:
- loss of points
- loss of bonus points
- tier-status changes or loss of tier benefits
- expired rewards
- inability to redeem rewards
- technical interruptions
- account access issues
- program suspension or termination
- missed profile-based rewards
- issues relating to birthday or favourite brand reward processing
Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded under applicable law.
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Ireland.
Any disputes arising in relation to Member's Vault Rewards shall be subject to the jurisdiction of the Irish courts, unless applicable consumer law provides otherwise.
